Pass CBT is run by CloudNotte Limited, a Nigerian company. This page explains what we keep about you when you use the Pass CBT website (pass.cloudnotte.com), the Pass CBT phone app and the Pass CBT computer app, why we keep it, and what you can ask us to do with it. Using Pass also means agreeing to our Terms of Service.

The short version

  • We keep your account details, your exam answers and your scores so you can practise and see how you are doing.
  • We do not sell your information to anyone.
  • If you take part in a competition, your name, username, school and score can appear on the public leaderboard.
  • You can ask us to show you, correct or delete what we hold about you at any time.

1. What we collect

When you sign up: your first and last name, username, email address, phone number, password, school name and the state or town of your school. We may also ask how you heard about Pass, and note who referred you if you used a friend's link. Your password is stored scrambled (hashed), so even our staff cannot read it.

Your profile picture, if you choose to add one.

Your practice: the subjects and years you choose, every answer you give, how long you take, your scores, your points and rewards, and your competition entries.

Payments: the plan you bought, the amount, the date and the payment reference. Card and bank details are handled by our payment partners. We never see or store your card number.

Your device: a device code worked out from your browser's settings, so the AI exams on a paid plan are used on one device at a time, and whether you installed Pass on your phone's home screen.

Messages you send us through the live chat, WhatsApp or email.

2. How we use it

  • To run your account, sign you in and keep it safe.
  • To set and mark your practice exams and show you your results, corrections and progress.
  • To run competitions and leaderboards.
  • To take payments and switch on the plan you paid for.
  • To send you messages you need, such as a password reset or a notice that a CBT centre has given you a seat.
  • To answer you when you contact us for help.
  • To find and fix problems, stop cheating and misuse, and make Pass better.

We use your information because you asked us to provide Pass to you, because we have a fair business reason (for example, keeping accounts secure), because the law requires it (for example, payment records), or because you agreed to it.

3. What other people can see

The leaderboard. When you take part in a competition, your first and last name, username, school, school location, profile picture and score can be shown on the leaderboard, which anyone can open.

CBT centres. If a school or CBT centre gives you a seat on the Pass CBT computer app, the people who run that centre can see your name, username and the results of the exams you write on that seat. A centre can only give a seat to an existing account with a seat code that you make yourself on the website. You can leave a centre at any time from your profile. If a centre opened your account for you, it entered your name and phone number, and you choose your own password the first time you sign in on the website.

Result cards. If you share your result card, whoever you share it with sees what is on it.

4. The Pass CBT computer app

The computer app keeps the questions you have downloaded, your answers and your results on the computer itself, locked with a key held by the computer's own keychain. When it connects to the internet, it sends us your results, the computer's name, its operating system, the app version and a record of how the app was used, so we can check the licence, show your results on the website and help if something goes wrong.

5. Who we share it with

We do not sell your information. We share only what each of these services needs to do its job for us:

  • Payment partners (Timiun, and Paystack for older payments), to take your payment.
  • Amazon Web Services, where our servers, database and profile pictures are kept.
  • Google Gemini, when AI marks a theory answer. We send the question and your answer, not your name or account details.
  • Termii, to send text messages to your phone, and CloudNotte's own email service, to send emails.
  • Meta (Facebook), which counts visits to our pages through the Meta Pixel so we can see how well our adverts work.
  • Talkbox, CloudNotte's live chat, when you chat with us on the website. The chat is turned off while you are writing an exam.

We may also share information when the law requires it, to protect someone's safety, or with a company that takes over Pass, who must then follow this policy.

6. Where your information is kept

Our servers are run by Amazon Web Services in the United States, so your information leaves Nigeria. We only use providers that protect it properly, and we follow the Nigeria Data Protection Act 2023 when we send it abroad.

7. Cookies and storage on your device

The website saves a few things in your browser: your sign-in, your details for the screens you use, and the answers of an exam you are writing, so a power cut or a closed tab does not lose them. It also sets one small cookie to keep the site loading properly. The Meta Pixel and the live chat set their own cookies. You can clear all of these from your browser settings; you will then need to sign in again.

8. How long we keep it

We keep your account and your results for as long as your account is open, so you can always look back on your practice. If you ask us to delete your account, we delete your details and results and take you off the leaderboard. We keep payment records for as long as tax and accounting law requires.

9. Keeping it safe

Information travels between your device and Pass over a secure (HTTPS) connection. Passwords are hashed. Only a few CloudNotte staff can open student records, and what they do there is recorded. No system is perfectly safe, so please keep your password to yourself. If something goes wrong that puts your information at risk, we will tell you and the authorities as the law requires.

10. Students under 18

Most people who use Pass are secondary school students preparing for JAMB and WAEC, and many are under 18. If you are under 18, please make sure your parent or guardian knows you use Pass, and ask them to help you before you buy a plan. A parent or guardian can contact us at any time to see, correct or delete their child's information.

11. Your rights

Under the Nigeria Data Protection Act 2023 you can ask us to:

  • show you the information we hold about you, or give you a copy;
  • correct anything that is wrong;
  • delete your account and information;
  • stop using your information for a purpose you object to;
  • withdraw any consent you gave us.

You can change most of your details yourself on My Profile. For anything else, email [email protected] or WhatsApp +2348136479415 from the phone number on your account. We reply within 30 days, usually much sooner. If you are not happy with our answer, you can complain to the Nigeria Data Protection Commission.

12. Changes to this policy

When Pass changes what it collects or who it shares it with, we will update this page and the date at the top. If a change is big, we will also tell you on the website or by message.
